Position Details
We are pleased to announce that we are hiring a 25-30 hour/week Program Assistant to join our team. The Program Assistant will support the work of the Delmarva Land and Litter Collaborative (DLLC) by coordinating logistics, facilitating communications, and ensuring efficient information management. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively with internal staff and external partners. The work will vary between being remote and occasional in-person meetings/conferences, across Delmarva and the mid-Atlantic region.

Key Responsibilities
Specific responsibilities will include, but are not limited to:

  • Keep the group’s 30 members (plus its key partners) informed, engaged, and supported.
  • Support the DLLC Coordinator to ensure consistent and clear lines of communication on tasks, roles and responsibilities, reporting requirements, and more.
  • Assist in the development of strategy and scheduling for DLLC activities and initiatives.
  • Coordinate and oversee all facets of meeting logistics for the DLLC and its associated sub-groups and partnership groups, including preparing speakers and group Chair, scheduling, venue/virtual setup, materials preparation, and follow-up.
  • Ensure consistency of group activities and decisions with our Governance Handbook.
  • Serve as a communication liaison among DLLC members, external partners, supervisors, and other staff by providing regular updates and maintaining clear channels of contact.
  • Participate in DLLC and staff meetings; record, prepare, and distribute detailed meeting summaries and notes.
  • Maintain organized electronic and paper filing systems for meeting documentation, archived materials, contact lists, shared group calendar, schedules, and other essential information.
  • Develop and update informational content for the DLLC’s
    WordPress-based website and other collateral materials, ensuring accuracy and relevance.
  • Develop quarterly e-newsletter by identifying relevant and timely content, querying members for updates and announcements, pulling information into MailChimp, maintaining recipient database, asking members to review the DRAFT newsletter, incorporating edits, scheduling newsletters, and reporting on analytics.

Qualifications

  • Associate’s or Bachelor’s degree preferred, or equivalent combination of education and experience.
  • Minimum of 1–3 years of experience, 5+ is preferred, in administrative, communications, or program support roles.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills, with the ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite and familiarity with WordPress or website content management systems.
  • Ability to work independently and collaboratively in a dynamic environment.

Necessary hardware and software will be provided.
